GETTING THE BEST OUT OF DOCLINE

DOCLINE Best Practices

A question came up last week on the MLA Hospital Libraries Section
discussion list about best practices for DOCLINE, specifically when to
mark a request filled (ANSWER: Mark an ILL request as “filled” only
after it has actually been sent).

Announcing DOCLINE Training Class: Early December 2010

Announcing DOCLINE Onsite Training Class: The Southeastern Atlantic (SE/A) Regional Medical Library (RML) plans to offer an onsite DOCLINE training (of approximately 3.5hours) class sometime in early December 2010; provided there is sufficient interest. The class will cover record administration, SERHOLD, request/lend and routing tables (including library groups), while incorporating recent DOCLINE 4.5 improvements.

Although the class will be available to any NN/LM current DOCLINE® user, priority will be given to SE/A network members with “active” DOCLINE accounts.

DOCLINE Webinar - Sept 10 and Sept 15

The DOCLINE Team will be hosting a webinar to highlight the features introduced in DOCLINE 4.5.  We will present an overview of the features in a live demonstration and conclude with a Q & A session.  Come see What’s New in DOCLINE presented by a member of the DOCLINE Team.

There will be two sessions of the What’s New in DOCLINE 4.5 webinar – each session will present the same information.

DOCLINE 4.5 Introduces Many New Features Requested By Users

DOCLINE 4.5 introduces many new features requested by our users.  We want to highlight a few of the changes, and to point out some possible Institution record changes for libraries to consider now that DOCLINE 4.5 is available.

Require patron name during borrow

If your library wants DOCLINE to require the patron name on your borrow requests, go to Institutions, Update, DOCLINE Options.  In the Borrowing Preferences area, select Yes for “Require Patron Name” and click SAVE.  Some libraries want to ensure a patron name is on the request so that when the article is received from the lender, they can match it up to their local records.

Lend screen – default option

When users go to Lend, DOCLINE displays the Batch Lend screen by default. To change which Lend update screen displays, go to Institutions, Update, DOCLINE Options.  In the Lending Preferences area, select Batch or Single and click SAVE.

Batch Lend allows lenders to quickly process a set of requests with the same action and delivery method or rejection reason at one time.  Single Lend allows lenders to select requests from a list of pending requests, to process a set of requests with differing actions, delivery methods, or Type and Form values.

Do Not Route To

The Do Not Route To list may be used to prevent requests from routing to individual libraries in Library Groups in a Routing Table, Resource Libraries, or “All Other Libraries”; or to temporarily prevent requests from routing to lenders listed individually in Routing Table cells. This can be accomplished by adding the LIBID to the Do Not Route To list, either on individual requests during the Borrow process, or adding to the default list of Do Not Route To LIBIDs in the Borrowing Preferences, Serial Routing section of the Institution record.

Note:  Users wanting to permanently prevent requests from routing to libraries listed individually in their Routing Instructions should remove the LIBIDs from their Routing Table or M/A/N Map rather than using the Do Not Route To list.  NLM cannot be added to the Do Not Route to list – instead, if you do not wish requests to route to NLM, deselect the route option “NLM”.

The “Do Not Route to” feature should be used with care – it overrides all other routing settings – libraries listed in your Routing Table, Resource Libraries, “All Other Libraries”, and Route to LIBID (prefix).

Odyssey users:

DOCLINE 4.5 adds support for a new delivery method – Odyssey, a 3rd party vendor system for electronically delivering materials.  If you use Odyssey, please make the following changes to your Institution record by going to Institutions, then Update.

On the Address page:  add your Odyssey address to the Document Delivery Address section

On the DOCLINE Options page, in the Borrowing Preferences area, indicate Odyssey as either your preferred Network Delivery Method, or one of your acceptable Network Alternate Delivery Method(s).  Remove Odyssey information from the Comments to Lenders field.   In the Lending Preferences area, select “Yes” for Odyssey to indicate that your library will deliver articles via Odyssey.

Status searching

As of today, DOCLINE will begin retaining completed requests in the system for 150 days. It will take until January before we reach 150 days worth of completed requests.  For example, DOCLINE still has 40 days of requests today, tomorrow will be 41 days and so on.  As the number of days grows, we recommend that libraries use the optional date filters when searching for retired or filled requests to limit the number of requests displayed to the filled/retired date range in which you are interested.

Barcodes on Receipts:

At the request of multiple users, we removed the automatic display of the barcode on receipts for Firefox users.  To display the barcode on receipts, Firefox and Internet Explorer users need to download a barcode font.  See the instructions at:  http://www.nlm.nih.gov/docline/doclinebarcodes_withheader.html

Browser Update and Release of DOCLINE 4.5

Since NLM announced the end of support for Internet Explorer 6 (IE6) with DOCLINE in July 2009, we have seen a dramatic decrease in the use of IE6. Thanks to the 600+ libraries that successfully upgraded their browsers.  With the upcoming release of DOCLINE 4.5 on Wednesday, August 11, 2010, we strongly encourage that the remaining Internet Explorer 6 users update their browsers to Internet Explorer 8 or Internet Explorer 7, or to install Firefox 3.6.x.

We have heard that some library’s institutions are using other software applications that still require Internet Explorer 6.  We understand the difficult position this poses for our libraries. We hope that in working with your local IT departments, you can negotiate a browser upgrade on one or more PCs in the library for DOCLINE use; or to install Firefox 3.6.x as an alternative to an Internet Explorer upgrade at this time.

DOCLINE Unavailable Sunday, August 8, 2010

Today, within the Southeastern Atlantic Region there are approximately 73 users with DOCLINE IDs and Passwords that have not upgraded their browsers to Internet Explorer 7 (IE7), Internet Explorer 8 (IE8) or Firefox 3.X. To those of you who have already upgraded, thank you, as this is an improvement since the last reminder notice in May of this year.  It is particularly important that these remaining users make the transition before the release of DOCLINE 4.5, which is soon planned, as NLM stopped providing technical support for IE 6 last summer.
