Announcement

The National Network of Libraries of Medicine (NN/LM) Middle Atlantic Region (MAR) is accepting applications for Exhibit Awards from NN/LM MAR Full and Affiliate Members.

Purpose

The purpose of the Exhibit Award is to allow full and affiliate members to exhibit at regional, state, or local health association meetings, consumer health fairs, or at meetings of community organizations, particularly those that serve underserved populations, to promote the products and services of the National Library of Medicine (NLM) and the National Network of Libraries of Medicine (NN/LM), Middle Atlantic Region (MAR). Exhibits are an effective way to reach large groups of health professionals, community organizations such as public libraries, health intermediaries including health educators, librarians, and health promoters, and the general public. Additionally, exhibits enable local librarians to meet with specific clients in their own area to promote the services and resources of their own institutions.

Three awards, each up to $1,500, are available for costs associated with exhibiting. Funds cannot be used for food or furniture; and no more than 5% of budget can be used to purchase print and electronic collections. Any equipment to be purchased must be submitted with catalog pricing.
Funds will be awarded on a cost reimbursement basis. Awardees will invoice MAR for costs associated with the Exhibit Award activity.
Exhibit awards must be applied to an exhibit held within nine months of the award date.

Requirements

Exhibits should target health science library associations, state library associations, community organizations serving consumers, or state or local healthcare professional associations, in particular those whose members work with underserved populations such as minority communities.

Special consideration will be given to applications for exhibits that address the outreach priorities of the NN/LM MAR Strategic Program Plan for Member Participation: target groups of seniors, Hispanic populations, faith-based organizations, low/income/literacy populations;  partner priorities of unaffiliated health professionals, senior centers, nonprofit organizations, schools, and public health departments; and addressing health disparities such as diabetes, heart disease, obesity, cancer, STDs/HIV/AIDS, infant mortality, asthma and the uninsured.

Exhibit Award recipients will be provided with exhibit materials for loan. Exhibit materials may include a table drape or a tabletop exhibit (frame and display panels). NLM and NN/LM promotional materials will be provided for recipients to distribute at exhibits. Shipping is also provided. The award recipient is responsible for ordering all booth space, equipment, electricity, Internet data lines, and labor (if applicable). The recipient is expected to reproduce NN/LM and NLM Fact Sheets and/or NLM and NN/LM brochures for distribution. The recipient is required to display prominently the NN/LM logo on the exhibit. The recipient will keep a record of contacts and submit a final report to MAR.

Application Process

The applicant should complete the Exhibit Award online application. Attachments, such as resumes, letters of support, and equipment quotes may be sent by postal mail, fax to 212-263-4258, or email to rml@library.med.nyu.edu. Please use the title of your project as the subject line of the email.
MAR staff will acknowledge receipt of your application and provide notification of a decision (funded/not funded/additional questions) within 10 business days.

Cost Proposal Instructions

Total expenses must not exceed $1,500.
Allowable expenses include:

  • Meeting registration
  • Travel
  • Publicity
  • Booth rentals
  • Electricity
  • Telephone lines/data lines
  • Equipment rental

Non-allowable expenses include:

  • Indirect costs
  • Food or furniture.

Application Review Process

Applications will be reviewed by the MAR staff. Reviewers may contact the applicant with questions or comments for clarification and revision of the proposal. The merits of each application will be carefully evaluated, based on responsiveness to the call for applications. Applicants must submit information sufficient to evaluate their applications based on the criteria listed below.

Application Review Criteria

TARGET POPULATION NEEDS ASSESSMENT
The application describes the target population, the target population’s needs, and the rationale for what benefits the target population will gain from the exhibit. Special consideration will be given to applications for exhibits that address the outreach priorities of the NN/LM MAR Strategic Program Plan for Member Participation.

PERIOD OF PERFORMANCE AND EXHIBIT PLAN
The application describes how the exhibit will address the needs of the target population. The application fully describes the exhibit, including start/end dates (timeline), location, and personnel. The application provides a detailed budget with justifications for all costs. The exhibit plan is feasible and complete.

EVALUATION
The application describes how the exhibit will be evaluated. The application includes evaluation criteria to explain how exhibit objectives will be achieved. The evaluation component considers what is expected to be different once the exhibit is complete.
20 points

SUPPORTING DOCUMENTATION
The application documents experience and qualifications of key personnel, including resumes/curriculum vitae and, if applicable, letters of support from partner organizations.
10 points

Total Possible Points: 100

An application with a score totaling less than 75 points will not be funded.

Reporting Requirements
A final report, including a blog/newsletter article, must be submitted using the appropriate form within 30 days of completion of the project. Award recipients are encouraged to take photographs for inclusion in the report and article.
Recipients agree to allow the NN/LM MAR to republish reports. Reports must be submitted to rml@library.med.nyu.edu.
Visit Exhibit Support Materials for supplemental forms as needed (these forms will also be sent with the exhibit).

Important Information

Funding decisions are based on need, amount to be funded, and availability of funds. In addition to the requirements listed in each Call for Application, the following requirements will also apply.

  • Award recipients are required to a final activity report. Reports should include an evaluation of the project’s effectiveness.

  • For assistance in project evaluation, contact Sue Hunter, MAR Planning and Evaluation Coordinator. Applicants may also consult the Outreach and Evaluation Resource Center (OERC ) for publications  to develop  an  evaluation  plan.

  • Applications requesting the purchase of “personal appeal items” (items used for official duties that could be construed to be used for personal purposes, e.g. cameras, MP3 players, smartphones, laptop computers) must demonstrate items will be used for official purposes only, and acknowledge appropriate use of items when acquired with Federal Government funds. 

  • Applicants developing training materials should consult with materials available in the NN/LM National Training Center and Clearinghouse. Training materials developed as part of the project should be registered in the Clearinghouse.

  • Web-based resources developed for the project should strive to ensure accessibility to the greatest possible number of people by adhering to standards described in Section 508 of the Rehabilitation Act.

  • Material produced in relation to the project should attribute the National Library of Medicine as funding source. Example: This project has been funded in whole or in part with Federal funds from the National Library of Medicine, National Institutes of Health, Department of Health and Human Services, under Contract # N01-LM-6-3501 with New York University.

  • In accordance with the NIH Public Access Policy investigators must submit or have submitted for them their final, peer-reviewed manuscripts that arise from NIH funds and are accepted for publication as of April 7, 2008 to PubMed Central, to be made publicly available no later than 12 months after publication. As of May 27, 2008, investigators must include the PubMed Central reference number when citing an article in NIH applications, proposals, and progress reports that fall under the policy, and was authored or co-authored by the investigator or arose from the investigator’s NIH award.
